Payroll outsourcing – five scenarios where it holds

Many companies still run payroll with their own resources. Yet it is precisely these routine tasks that can become very time-consuming and expensive: at best they occupy specialist staff who would be better deployed on the HR work that actually adds value. That is why many decide to outsource payroll.

What is outsourcing?

Outsourcing means handing over company tasks that can be given to external providers without difficulty – not one’s own development and core competences, but recurring, necessary work such as payroll accounting. The reasons differ from company to company; in practice, though, it is the same scenarios that prompt a rethink again and again. We have gathered the five most common.

Scenario 1 – the cost of training

All you have to offer for payroll is a Minijob – a form of marginal employment under German social security law, whose earnings threshold has been linked to the minimum wage since 2022. Because even that has to be earned, your office staff handle payroll alongside their daily work – but do not always have sufficient specialist knowledge. In payroll in particular, peculiarities get overlooked that bring high follow-up costs later. Scenario 5 – additional HR services

It is not only the effort of HR administration that grows year by year – the demands on HR management itself grow too, through case law such as the 2019 ruling of the Court of Justice of the European Union on the duty to record working time. Added to that is the competitive pressure to retain staff over the long term and to create capacity through improved HR processes.
